AI Agents are powerful automated assistants that help you streamline customer service by instantly responding to common questions based on your knowledge base and custom data sources. These features are included in Pro and Unlimited plans in HelpCrunch.

Below you’ll find everything you need to know about AI-related pricing, usage limits, and what happens when those limits are exceeded.

🚧 What Happens When You Hit the AI Limits?

To ensure smooth performance, HelpCrunch handles AI Agent limits gracefully:

1. AI Conversations Limit Reached

  • Once your monthly AI conversation quota is used up, the AI Agent block will be ignored in chatbot flows.

  • The chatbot will skip directly to the next step or block.

  • You will not be charged extra automatically - usage stops until the next billing cycle or until you extend the limit.

2. Data Sources or AI Agent Limit Reached

  • You won’t be able to add new data sources or create additional AI agents once the maximum is reached.

  • You can delete existing ones or purchase an extension to unlock more.

📌 Note: 

  • One article added in 3 languages counts as 3 data sources.
  • If you use your entire Knowledge Base as a data source and you reached the data source limit - new articles will not appear in the AI Agent’s knowledge until you extend your limits.
    Only after upgrading the limit the AI Agent will be able to learn from newly added articles.

🛒 How to Check Your Current Limits and Increase Them

You can view and manage your current usage directly from your Subscription settings.

1. Go to Settings → Billing → Subscription

You’ll see what's included in your current plan, how much is left and the options to extend each limit

Example: In the AI Conversations row, if you're nearing the 350/month limit, you’ll see a clickable “Extend” link on the right.

2. Click "Extend" next to the limit you want to increase

A sliding panel will open showing available extension packages.

  • For AI Conversations, you can add from 100 to 10,000 extra conversations per month.

  • For AI Data Sources, you can add from 100 to 10,000 extra sources total (not per month).

3. Select your desired extension

Click the box with the limit that suits your needs. The pricing will update on the right panel.

You’ll see:

  • Free limit

  • Your selected extension

  • Total price (monthly)

  • Amount due today: $0 (you won’t be charged during the free trial)

4. Click "Confirm New Limit"

Your new limits are applied immediately. The extension cost will be added to your subscription when your trial ends or at the next billing cycle.

💡 Summary

  • AI Agents are not available in the Basic plan

  • All AI-related limits reset at the beginning of each billing cycle

  • Your account includes a free limit - you can test AI features with no cost

  • You can purchase extensions at any time
